Privacy Policy

Section 1 — Overview

We want you to understand our privacy practices at a glance. These highlights are a summary only; the sections that follow control.

• We collect personal information — including sensitive information such as ethnicity and health and pregnancy information, and your phone's approximate location — to personalize your experience and deliver our Services with the consent that applicable law requires.
• Our voice assistant streams audio from your microphone to a third-party AI provider while a conversation is active, so that it can hear and answer you in real time. We do not record your voice conversations to a file, and we do not keep their audio or transcripts on our servers. What you ask the assistant to save or send for you is kept where you sent it, as if you had done it yourself.
• We use artificial intelligence to generate personalized prompts, content and recommendations based on your profile. Some features send photographs you choose to provide; including a photograph of your face or a family member's face, directly from your device to an AI provider.
• Some processing stays on your device. When the assistant is offline it answers using a model that runs on your phone, your speech is transcribed on the device, and the short notes the assistant keeps are stored on your phone and excluded from your device backups.
• We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We do not collect advertising identifiers. If you leave “Help improve Promptly Mom” on, the App may send us crash reports so that we can fix faults (Section 2.2).
• We collect information about children only indirectly, through the parent user. The App is not directed to children under 13. Because a microphone may be open in a household, other people's voices including children's may be captured incidentally; Section 2.5 explains what we do about that.
• If you connect a smart home (on iPhone, through Apple Home or other applications), the assistant can control lights, plugs, fans, switches and thermostats and run scenes you created.
• If you supply your own AI provider key, those requests go directly from your device to that provider under your account and that provider's terms. Our commitments in Section 5.8 do not extend to that path.
• You decide what the assistant and the App's AI features may use. Most of your choices are in Account → Data & Privacy, and the rest sit with the feature they govern (Sections 2.1, 2.4 and 2.6); you can change them at any time.
• You have rights over your data, including the right to access, correct, delete, port and restrict processing of your personal information.
• This Policy covers users globally. Additional rights and disclosures apply to users in California and other U.S. states, Canada, the EEA, Switzerland and the United Kingdom.

Section 2 — Information We Collect

We collect different categories of information depending on which features you use. Several categories below are collected only if you turn a feature on and grant the corresponding device permission.

2.1 Sensitive Data — Special Notice

Some of the information described above is treated as sensitive personal information, special category data, or consumer health data under applicable law. For Promptly Mom, that includes:

• Ethnicity or racial identity, used for cultural personalization;
• Health and wellness information, including pregnancy status, postpartum stage, cycle and symptom logs, derived summaries, fitness and activity data, data you bring in from Apple Health or Health Connect, and the records you keep in Health Studio;
• Your phone's approximate location, where you grant that permission;
• Audio of your voice, captured while an assistant session is active; and
• Photographs of faces, yours or a household member's, including a child's, if you use colour analysis.

We ask for your consent before using artificial intelligence with your information. When you first set up your account, a dedicated screen — shown after you accept our Terms and before any AI feature begins — lists each AI choice separately: content generation, the voice assistant, health data and cultural personalization, each with a plain description of what it sends to our AI provider and what you lose if it is off. For a new account, content generation, the voice assistant and cultural personalization are shown already switched on, and health data is always shown switched off and is turned on only if you choose to turn it on. You can switch any choice off before you continue; nothing is sent under a choice until you continue past this screen, and we record the choices you continue with. You may decline any of them and continue to use the App; declining a choice switches off the specific feature it governs and nothing else. You can change any of these choices at any time by asking Promptly or via Account → Data & Privacy.

We do not create biometric identifiers. We do not generate a voiceprint, faceprint or other biometric template from your audio or your photographs, we do not use voice or facial data to identify you, and we do not infer age, gender, emotion or health status from the sound of a voice.

2.2 Information We Collect Automatically

When you use the App or visit the Site, we automatically collect:

• a per-installation identifier; device model; operating system and App version; language; and coarse geography derived from your IP address;
• automatic activity events including first launch, session starts and screen views; and
• our own product events, including: screens viewed and progress through first-time setup; which studio you open (opens of our health studios are only counted, without any identifier); use of the voice assistant (mode, duration, the number and kind of actions taken, and which assistant skill was used, with any skill about a sensitive topic recorded only as “sensitive”); whether you copy, save, share or rate an answer; which kind of notification you open; subscription and purchase events, including which screen prompted an upgrade; and content-generation events, including category, processing route and any safety stop. We also record your plan, whether the voice assistant is on, and whether you use your own AI key.

You can turn these product events off at any time with “Help improve Promptly Mom” in Account → Data & Privacy. While it is off, the App sends none of these events and no crash reports, and it stops adding to the anonymous daily counts of assistant skills and health-studio opens. The anonymous prompt counts described in Section 5.10, which show what is popular and power the community map, identify no one and continue either way.

We do not collect advertising identifiers.

Our website. Our website (promptlymom.com) is hosted by WP Engine and delivered through Cloudflare, which receive the requests your browser makes to it, including your IP address and browser details. Cloudflare sets a short-lived security cookie to tell people apart from automated traffic (see our Cookie Policy). If you sign in on the website, Google's Firebase keeps you signed in and holds your Mom Academy progress (Section 2), and the website checks whether your account has Premium so that it can show you Premium content.

Crash reports. The App includes Firebase Crashlytics (Google), a crash-reporting tool. If you leave “Help improve Promptly Mom” on, the App may send a crash report to Firebase Crashlytics after it crashes: the technical details of the fault, your device model, operating system and App version, free memory and storage, the last few product events before the crash (listed above), and an installation identifier — not your name, email or account ID. Reports are designed not to include what you write, and are kept for 90 days. With the switch off, a report is deleted on your phone without being sent, and turning the switch off deletes any report not yet sent.

2.3 Information You Provide About Others (Children)

Our Services allow you to provide information about your children, such as their ages, dietary preferences and school schedules, and, if you choose, a photograph of a child's face for colour analysis, for the purpose of personalizing content for your family. A child's photograph is sent to the AI provider (Google's Gemini) only for the colour analysis or outfit check you ask for, and is not kept by us or in the App afterwards; only the colours worked out from it are kept, with the name you entered.

If you keep a family list in TimeCraft, it holds each person's name and role (child, parent or partner, or someone else in the family) and, for children, their grade or school. When you have turned on “Share data between studios”, the App's other studios can use it, so that you do not have to enter it twice. If you connect Gmail, it is also used to work out whose event an email describes (Section 2.7).

We do not knowingly collect personal information directly from children under the age of 13. See Section 2.5 and Section 10.

2.4 Voice and Audio

If you use the voice assistant (Promptly) in its online mode, audio from your microphone is streamed continuously to our AI provider for the duration of the session, so the assistant can hear and respond in real time. This is not push-to-talk: while a session is active, the microphone is open. A session ends when you end it, or after a short silence in which neither of you speaks, and at the latest after about fifteen minutes on the App's included voice time, or sooner if that time runs out (about twenty minutes when you use your own key).

The provider transcribes both sides of the conversation and returns the text to your device. The App does not create an audio recording of the conversation, on either platform, and does not write the transcript to our servers. Unless you choose to keep your conversations (below), the transcript exists only in your device's memory while the App is running, and is limited to the most recent sixty exchanges.

If you turn on “Keep my conversations with Promptly on this phone”, the text of your recent conversations is saved on your phone, encrypted and excluded from your device backups, for up to 30 days, so that the assistant can pick up where you left off. When you ask about an earlier conversation, the relevant part of it may be sent to the voice assistant's AI provider as part of that session. You can delete saved conversations at any time in Account → Data & Privacy. They are deleted when you sign out, turn the choice off, delete your account or uninstall the App. Conversations from before you turned it on were not saved, so they cannot be recovered.

On Android, the assistant can continue listening while the App is in the background, using a foreground service with a persistent notification. On iPhone, it cannot; ending or backgrounding the App ends the session.

Alongside the conversation, the assistant may send the information it needs to answer you that can include the following:

• your name; the city, state and country where you live; your cultural background; the short self-description and goals you wrote on your profile; and your children's ages and how many people live at home;
• the short notes the assistant keeps of things you have confirmed (Section 5.4);
• which studios and kinds of prompts you have used lately, and at what times of day or week (Section 5.10), leaving out health studios;
• today's date, your local time and your time zone;
• results of searches of our prompt library and community content, and of web searches it makes for you (Section 5.12);
• the titles and short descriptions of prompts, skills and meals you have saved to Favorites;
• your smart-home device, room and scene names, when Smart home is on (Section 6.6);
• the titles and times of events on your calendar, when you ask about your schedule (Section 2.6);
• if you ask about a Mom Circle you have joined, short summaries of its recent posts, without anyone's name;
• if you continue a chat by voice (“Talk it through”), that chat's recent messages, including messages written by a different AI provider;
• if you ask about your other chats, their titles and last few messages;
• if you ask, short summaries of the replies under a post it has read to you, without anyone's name;
• if you have saved or liked posts in a Mom Circle, a few words from them, without the author's name, along with your other favorites; posts from circles you have left, and from circles about health, are left out;
• other everyday answers you gave when you last filled in a prompt, such as your garden, kitchen or shopping routine, and a few others, such as your morning timings or your style, that you chose to share under My prompt answers (in Account → Data & Privacy on Android, Account → Personal Details on iPhone); answers to health or diet questions, and anyone's name, school or contact details, are screened out;
• a photo you pick from your phone to show it (Section 5.3);
• the town and region your phone is in, if you have allowed it (Section 2.6);
• parts of your earlier conversations, if you keep them (above).

If you have turned on “Share data between studios”, the assistant can also read what you have saved in the App's studios when you ask something that needs it. What it reads is sent to the voice assistant's AI provider as part of the conversation so that it can answer you. Phone numbers and email addresses are screened out of what it reads from your studios unless you choose otherwise (Section 2.6); if you ask it to call someone you have saved, the App opens your phone's dialer with the number on your device, you place the call yourself, and the assistant is told only the name. Health information from your studios reaches the assistant only as described in the next paragraph.

Health information reaches the voice assistant only if you choose. Each of the health choices below needs “Use my health and tracker data” and “Share data between studios” on as well, and covers only what you log or add after you turn it on. If you turn on “Let Promptly see my food log”, the assistant can read, when you ask, the daily totals from your Health Studio food log (calories, protein, carbs and fat) for up to the last seven days, and your targets. If you turn on “Let Promptly see my health summaries”, it can read, when you ask, daily summaries from Health Studio — meals and their calories and macros, water, activity, and mood, pain and digestion entries counted by day — for up to the last seven days, your targets, and your FitFlow workouts; and, when you ask for a meal that fits, how many calories you have left today. If you also turn on “Let AI use my visit notes and records”, it can read the titles and short summaries of the visit notes and records you add after that. The assistant is not given data from Apple Health or Health Connect, your period tracking, or the notes you write in your logs.

You can turn any of these off at any time in Account → Data & Privacy. See Section 5.9.

Voice notes in Chat. If you record a voice note in Chat, the App records that short clip on your phone and sends it to Google's Gemini so that it can answer. Voice notes go only to Gemini, not to the other AI providers a chat can use. The clip is not uploaded to our servers.

2.5 Other Voices in Your Household

The Services are intended for adults. Because the assistant holds an open microphone, the voices of other people who are present may be captured incidentally and transmitted to our AI provider as part of the audio stream, for the duration of a session you have started.

What we do about this:

• The assistant is instructed that, if a speaker identifies themselves as a child, it must change nothing, suggest that the speaker find a parent, and end the session. This is a behavioural instruction to a language model and not a technical guarantee.
• We do not infer anything from the sound of a voice, including age. We do not create voiceprints.
• No audio is retained by us in any form, and the transcript of a session is not sent to our servers; only what you ask the assistant to save or send for you is kept, where you sent it (Section 5.11).

You are responsible for deciding when to start a session and who is present when you do. If you do not want other voices captured, end the session or do not start one.

2.6 Information We Read From Your Device

You decide which of these the App may use. Each needs your phone's permission, which the App asks for the first time a feature needs it and which you can withdraw at any time in your phone's settings. Calendar and contacts also have their own switch in the App (Mom's Helpers on Android, Integrations on iPhone), off until you turn it on. The assistant reads your calendar, contacts and location only when you ask for something that needs them. A studio you open, such as TimeCraft, can show your upcoming events when it opens; it keeps them on your phone.

• Microphone — for voice assistant sessions, as described in Section 2.4, and when you choose to record a voice note in Chat or dictate in a studio.
• Calendar — the assistant reads event titles and times, so that it can tell you what is coming up and warn you if something you are adding clashes with something already scheduled. If you turn on “Let Promptly see where and what your events are”, it also reads the location and notes of the events in your phone's calendar, so that it can tell you where you need to be or what to bring. It does not read attachments, or who else is invited. Because event titles, locations and notes can themselves be sensitive (a medical appointment, for instance), they are sent to the AI provider when you ask a question that requires them. When you ask, the App can also add an event to your calendar (Section 6.5).
• Contacts — from your phone's contacts, the assistant is given matching names only, to confirm a spelling or distinguish two people; it is not given phone numbers or email addresses from your phone's contacts. If you turn on “Let Promptly use the numbers and emails you saved for your home”, the assistant can also read your own email address, and the phone numbers and email addresses you saved in Homekeeper for businesses and service providers you marked as a business (for example a school office, a contractor or a pediatrician's front desk), so that it can tell you a number or help you write a message when you ask. What it reads is sent to the AI provider as part of the conversation. You can turn this off at any time in Account → Data & Privacy.
• Photos — only the specific images you select for a feature are loaded or stored.
• Location — the App uses your phone's approximate location if you allow it. With it, Discover can centre its map on your area, Mom Circles can show circles near you (Section 6.4), and a prompt you run can be noted with your approximate location (Section 5.10). When you ask the assistant something that depends on where you are, such as “what's open near me?”, it is told the town and region your phone is in, rounded to about ten kilometres, for that question only; we do not store it. If you say no, or withdraw the permission in your phone's settings, the assistant will ask which town you mean.
• Apple Health and Health Connect — if you tap Connect in Health Studio and allow it on your phone's permission screen, Health Studio reads the kinds of data you approve: steps, active calories, exercise minutes, workouts, sleep and resting heart rate, and the vitals you choose to share (blood pressure, blood glucose, weight, body temperature, breathing rate, blood oxygen and menstrual flow). It saves one summary per day to your account so that it can show your trends and find patterns with what you log, and it sends that data to an AI provider only for Health Studio's own features, while “Use my health and tracker data” is on (Section 5.9). The App does not write to Apple Health or Health Connect. Data from Apple Health and Health Connect is not sold, is not used for advertising, and is not given to the voice assistant. You can stop sharing it at any time in the Health app on iPhone or in Health Connect on Android.

2.7 Google Services You Connect

If you connect Google services in Account, the App can do more for you with them. Each connection is yours to make and to end.

Gmail. If you connect Gmail, our server reads new mail in a Gmail label you choose and, if you add them, mail from up to 20 sender addresses you choose (for example a teacher's), wherever it is in your Gmail, to find an event or a to-do. Gmail's search can also return other mail whose sender line mentions one of those addresses; for that mail our server reads only the sender line and Gmail's labels, and then leaves it alone. To work out whose event it is, the message is sent to our AI provider (Google's Gemini) together with the family list you keep in TimeCraft and your display name. This happens on our servers, using our own account, not a key you connected yourself. We keep only the result: a headline, the date, the time, the place, the to-do, who sent it, the email's subject line and, if it came from a sender you chose, which one. The message itself is not stored. Nothing is added to your calendar until you review it in TimeCraft and add it. Items you approve become part of your TimeCraft schedule and, like the rest of that schedule, can be read by the assistant and by Chat when you ask about your plans (Section 2.4). Disconnecting Gmail in Account ends our access and deletes the items you have not reviewed and the list of senders you chose.

When the Promptly Mom card for Gmail is available to you, an email you send from it is read and kept in the same way.

Google Calendar. If you connect your Google Calendar, studios you allow (such as TimeCraft) can show the calendars you choose and the titles and times of their events; your phone reads them directly from Google. They are not given to the voice assistant. If you also choose Google Calendar for new events, the App adds an event you have reviewed and confirmed to your main Google Calendar, using Google's permission to add events to calendars you own. When you have connected both Gmail and Google Calendar, Google gives one permission for both, so disconnecting either one in Account, or removing Promptly Mom from your Google Account, ends both.

Google API Services. Promptly Mom's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use information from Gmail or Google Calendar to develop, improve or train generalized AI or machine-learning models, we do not use it for advertising, and we do not sell it.

Health Studio: Records Kept on Your Phone

If you use My Records in Health Studio, the documents you add (for example a PDF or a photo of a lab report), your medications, your lab results and the notes you keep about appointments are stored on your phone, encrypted, rather than in your account, so they are not backed up, synced or uploaded to our servers. You can type a visit note, attach a document to it, or speak it: your speech is turned into text on your phone, and no recording is kept.

Health Studio sends a record to an AI provider when you tap Read with AI (one document) or Analyze my records (your medication list, lab values and document summaries), and only while “Use my health and tracker data” is on. The results are kept on your phone. If you turn on “Let AI use my visit notes and records”, Health Studio's insights and questions for your doctor can also use the visit notes and records you add after that, without a tap for each.

Health Studio can remind you, at times you pick, to drink water, move, stretch or have a snack. These reminders are set on your phone, and their words never include anything you have logged.

You can take a copy with you at any time with Save my health history, which writes one file, wherever you choose to put it, with your logs and targets, the questions you saved for your doctor, your medications, lab results and visit notes, and the documents that fit within its size limit (a larger document is listed by name and stays in Health Studio). Because we do not hold these records, they are not part of a copy of your data that we provide (Section 9). Deleting your account, or the App, deletes them from your phone.

If you choose to import medical records from the Health app on iPhone or Health Connect on Android, Health Studio reads the record types you approve on your phone's permission screen (medications, lab results, vital signs, conditions, allergies, immunizations and procedures). They are stored on your phone in the same way. Medications and lab results you import are sent to an AI provider only when you tap Analyze my records, like records you add yourself. Imported records are not used for advertising and are not given to the voice assistant.

Section 3 — How We Use Your Information

• Providing and Personalizing Our Services: To create and manage your account, deliver AI-generated prompts and recommendations, match you with relevant Mom Circle communities, and customize your experience.
• AI-Powered Features: To generate personalized prompts, meal plans, home décor suggestions, holiday planning content and other outputs tailored to your household and preferences. AI outputs are helpful, but are not a substitute for professional advice.
• The Voice Assistant: To hear and answer what you ask, to look things up for you when the answer depends on something current, to carry out actions you request on your device and in the App (Section 5.11), and — where you have connected one — to send commands to your smart home.
• Household and Wellbeing Features: To operate Health Studio, FitFlow, the Pantry Organizer, TimeCraft and related features, using the information you log in them and, if you connect them, information from Apple Health, Health Connect, Gmail and Google Calendar.
• Offering and Delivering Digital Products: To present digital products relevant to your profile and purchase history, process purchases, deliver purchased items, and give promotional access to Premium.
• Community Features: To operate Mom Circle social features, enable connections between users in similar life stages or geographic areas, and maintain community standards through content moderation.
• Scheduled Assistance: Where you have set up a recurring assistant task, to run that task on schedule, which may involve sending its instructions and saved data to an AI provider at a time when you are not present. See Section 5.5.
• Communications: To send transactional emails, service updates, notices about promotional Premium you receive (which you can turn off), and, where you have given consent, marketing or product enhancement communications.
• Safety and Security: To detect, prevent and address fraud, unauthorized access, abuse and other harmful activity, including confirming that requests come from a genuine installation of the App.
• Analytics and Improvement: To analyze usage patterns, diagnose technical issues (including through crash reports, if you allow them) and improve the performance, features and design of the App and Site.
• Legal Compliance: To comply with applicable laws, respond to lawful requests, and enforce our Terms of Service, EULA and Community Code of Conduct.

Section 4 — Legal Bases for Processing (GDPR / UK GDPR)

• Contract Performance: Processing necessary to perform our contract with you: account management, delivery of the features you request, purchases, and support.
• Legitimate Interests: Processing necessary for our legitimate business interests where not overridden by your rights: security, fraud and abuse prevention, device-integrity checks, service analytics and product improvement.
• Legal Obligation: Processing required to comply with applicable law or regulation.
• Consent: Required for marketing communications; for non-essential cookies and tracking technologies; and, as explicit consent under Article 9(2)(a), for special category data: ethnicity, and health and wellness information including pregnancy status.
• Consent (device access): Microphone, approximate location, calendar, contacts, photo and health data access (Apple Health and Health Connect) are each processed on the basis of your consent, given through the operating system permission and, where the App has one, its own switch, and withdrawable at any time in either place.

You may withdraw consent at any time in Account → Data & Privacy, in the relevant feature switch, in your device settings, or by contacting admin@promptlymom.com. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

Section 5 — Artificial Intelligence and Automated Processing

5.1 How We Use AI

The Promptly Mom App uses artificial intelligence, including large language model technology provided by third-party AI providers (Anthropic, OpenAI and Google), to generate personalized content based on your profile information, preferences, family details and interaction history.

Some AI requests are routed through our servers. Others, including all image analysis and your voice conversations themselves (your audio, the transcript and the details about you that the App adds), go directly from your device to the provider. To start a voice session on the App's included voice time, your phone asks our server for a one-time pass, and that request can carry the titles of a few things you saved to Favorites, so that the assistant knows your tastes from the start; our server passes them to the provider and does not store them. When you ask the assistant to use a studio tool for you, our server prepares the request from what you have saved in that studio, under your sharing settings, and it is answered through the same route as your studios' other AI features (Section 5.11). Some features can also look things up on the web (Section 5.12).

5.2 The Voice Assistant

Our voice assistant works by streaming audio from your microphone to Google's Gemini Live service while a conversation is active, so that it can hear and answer you in real time. Google transcribes both sides of the conversation and returns the text to your device.

We do not record your audio to a file, and we do not keep the audio or transcript of your voice conversations on our servers. The written transcript exists only in your device's memory while the App is running, unless you choose to keep your conversations on your phone (Section 2.4). What you ask the assistant to save or send for you, such as an item on your shopping list, is kept where you sent it, just as if you had done it yourself (Section 5.11).

Alongside the conversation, the assistant may send the information it needs to answer you. Section 2.4 lists what that can include: your profile details, the notes the assistant keeps, a record of what you use in the App, and, if you have enabled sharing between features, what you have saved in the App's studios. On Android the assistant can continue listening while the App is in the background; on iPhone it cannot.

Section 2.4 describes what is captured. Section 5.8 describes what the provider may and may not do with it.

Before your first voice session we show you a one-time notice explaining that the microphone stays open for the whole session, that other people in the room may be heard, that the Assistant is not for unsupervised use by children, and that no audio is recorded or stored. You must acknowledge it before a session can start.

5.3 Photographs and Images

Some features send photographs you choose to provide to an AI provider for analysis; for example, photographs of food or your pantry, artwork, frames from short-form video you supply, or a photograph of your face, or of a household member's face. These are sent directly from your device to the provider and are not stored on our servers except where you save the result to your account or, on iPhone, send the photo in Chat (it is kept with that conversation and deleted with it) — and when you delete your account.

If you ask the voice assistant to look at something, you can pick one photo from your phone to show it. Only the photo you pick is sent, directly from your device to the assistant's provider, and it is not stored on our servers. The assistant is not sent photographs from your chats or photographs other people posted in a Mom Circle.

5.4 Processing That Stays on Your Device

Some processing stays on your phone. When the assistant is offline it answers using a model that runs on the device itself, and in that mode your speech is transcribed on the device rather than being sent anywhere. To answer you in context, that on-device model is given, if you allow personalization, your name, your town, your goals and your children's ages and household size; none of it leaves your phone on that path.

The short notes the assistant keeps of things you have confirmed (e.g. a setting you changed, a detail you saved) are stored on your phone. They are not stored by us, and they are excluded from your device backups, so they do not travel to iCloud or Google Drive. When you start an online voice session, your phone sends them directly to the voice assistant's AI provider so that it can use them; they do not pass through our servers. You can clear them at any time from Data & Privacy in the App.

5.5 Scheduled and Unattended Runs

If you set up a recurring assistant task, that task runs on a schedule on our servers. When it runs, the task's instructions and the data you chose for it are sent to an AI provider, even though you are not present at the time.

If you have chosen to personalize the App, a run can also include your first name, the town you live in, what you wrote about yourself and your goals, and, when “Share data between studios” is on, the shape of your family from your TimeCraft family list (how many children and their grades, and how many adults, without anyone's name).

Each task also keeps a short memory of its past runs, written by the AI model after each run, so that it does not repeat itself. The memory can include facts about you and your family, such as an allergy, a budget or a schedule. It is stored with the task on our servers, sent to the AI provider with each later run, and deleted when you delete the task, clear its memory, or delete your account. If you turn off “Let AI write for you”, your scheduled tasks stop running and their memory is erased; if you turn off “Use my health and tracker data”, memory that may have come from your health data is erased. You can review a scheduled task and what it remembers, turn its schedule off (the task stays saved so you can run it yourself), clear its memory, or delete it, at any time in the App.

5.6 What AI Does Not Do

AI-generated content from Promptly Mom is for informational, organizational and creative assistance purposes only. It is not a substitute for professional medical, nutritional, legal, financial, psychological or parenting advice. The assistant is not a medical device, an alarm system or a means of summoning emergency help.

5.7 Your Rights Regarding Automated Processing

Where applicable under the GDPR or other law, you have the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects. Our AI features are assistive in nature and do not make decisions with such effects.

5.8 AI Providers and Model Training

Where we supply the credentials. When an AI request is made using our own provider accounts, the provider processes your prompts and interaction data as a data processor acting on our behalf, under a data processing agreement, and is contractually prohibited from using your data to train its own models or for its own independent purposes.

Where you supply your own key. You may connect your own API key from an AI provider. If you do, the request goes directly from your device to that provider under your account, authenticated with your credential, and no Promptly Mom server takes part in the request itself. In that case the provider's agreement with you governs how it handles what you send, including whether it may use that content for model training. Some providers permit training on content submitted through free-tier keys. We cannot make, and do not make, any training commitment on that path. Review your provider's terms before connecting a key.

This includes AI features inside studios and the voice assistant. If you have connected your own key, a studio's AI request normally goes to that provider, and for Health Studio and FitFlow that request can include the health and fitness information described in Section 2.1 when you have enabled health data sharing; a voice session on your own key carries everything described in Section 2.4, including any health summaries you let the assistant read. Photographs a studio sends for image analysis go to Google. When the assistant uses a studio tool for you, our server prepares the request from your saved studio data before your phone sends it to your provider (Section 5.11). The text of email you connect is not sent through your own key (Section 2.7).

5.9 Controls We Apply

• Health data sharing switch. A setting (“Use my health and tracker data”) controls whether health-derived information may be sent to an AI model at all. It fails closed: if the setting cannot be read, health data is withheld.
• The voice assistant, only by your choice, can access certain health information. Health-derived information is sent to the voice assistant only as described in Section 2.4: only while “Use my health and tracker data”, “Share data between studios” and the health choice in question are all on, only for what you log or add after you turned that choice on, and never data from Apple Health or Health Connect. If any of these settings cannot be read, nothing is sent.
• Credential isolation. API keys are not given to the in-App content that renders studio features.

5.10 The Home Context Layer

Promptly Mom is designed to get better at helping you the longer you use it. It keeps two records of what you use.

On your account. Each time you run a prompt, we record which prompt it was, its category, when you ran it and, if you have granted location permission, your phone's approximate location at the time. This record is held under your account and is readable only by you. It is included when you ask us for a copy of your data, and it is deleted when you delete your account, along with everything else in your account.

On your phone only. The App also keeps a short list of the prompts, studios and categories you open and when, on your phone only. It holds no location, is not sent to us, is excluded from your device backups, and is cleared when you sign out or delete your account.

The App uses the list on your phone to put what you use most within easy reach, and the Assistant may use it, leaving out health studios, to answer you in context rather than starting from scratch each time (Section 2.4).

Separately, we keep anonymous usage counts: how many times a particular prompt was run on a given day, in an area about a kilometre across, used for the community map and for showing what is popular. These counts carry no account identifier, no device identifier and no individual records, and they are not linked to your account. Other members can see them on the map. Because they identify no one, they are not deleted when an account is deleted, and there is nothing in them to delete.

We do not sell this information, and we do not license or otherwise make it available to third parties. It is used to operate and improve the Services for you.

5.11 When the Assistant Acts for You

When you ask, the assistant can do things for you. Before it changes anything — a setting, your calendar, your shopping list, a studio — it tells you what it will do and waits for your yes, and it tells you when it cannot do something rather than reporting that it did. What it saves or sends for you is kept where it would be if you had done it yourself, where you can see and delete it. Running a prompt, sending a chat message, posting in a Mom Circle and any studio tool that uses AI also need “Let AI write for you” on, and you can turn that off at any time in Account → Data & Privacy.

Studio tools. It can use your studios' own tools for you: for example fresh meal ideas from what is in your pantry, which staples are running low, a plan for this week's Homekeeper jobs, or a free window in your week. A tool that needs AI sends the studio data it needs, under your sharing settings, to your studios' AI provider (your own key if you have connected one, otherwise ours), and a short result comes back into the conversation. Before it changes anything in a studio, such as adding to your grocery list, it tells you exactly what will change and waits for your yes.

Prompts. It can run one of the App's prompts for you with the answers you give it. It tells you which prompt it will run and the answers it will use, and runs it only after your yes. The prompt is filled in with your profile details as Chat would fill it, the full answer is saved as a conversation in Chat, just as if you had started it there, and the assistant hears a short summary of the answer.

Your chats. It can send a message you dictate into one of your own Chat conversations that started from a prompt. It shows you the exact words and reads them back to you first, and sends it only when you say yes or tap Send it. That chat's own AI provider answers it there, using the conversation so far; your message is marked “via Promptly” in the chat, and the assistant hears a short summary of the answer. Chats about health are not available to it.

Mom Circles. It can post, or reply under a post it has read to you, in a Mom Circle you have joined, under your name. It shows you the exact words and reads them back to you, and publishes them only when you tap Post it or Send reply, or say yes after hearing the whole text read back. A post it publishes for you is like one you typed: the members of that circle can see it, the person you replied to is notified, and you can edit or delete it in the circle. It does not post in circles about medical conditions, pregnancy and fertility, a child's health or special needs, or mental health, and it does not include links, email addresses or phone numbers.

Your star map. When the star map is on your screen, the assistant can light up a star while it talks about it, and, when you ask, open one for you exactly as your own tap would: a prompt opens on its page without running, a studio opens, and a group opens its own screen. Opening something goes through the same checks as your tap — signing in, Premium, and the daily limit on creating prompts. To do this, the assistant is told which stars are showing: names such as your studios, prompt categories and prompts, the Mom Circles the map shows (yours, and nearby ones you have not joined) and the sections and settings of Account. The star map does not give it the titles of your draft prompts, saved circle posts, circle threads or chats — only how many there are — and it does not open those for you.

5.12 Looking Things Up on the Web

Some features can search the web for you: the voice assistant, when the answer depends on something current (opening hours, a recipe, today's weather), and studios marked “This studio can search the web”. When they do, the AI model writes search queries from your request, Google runs them with Google Search as part of its Gemini service, and the answer comes back with its sources. The queries can include what you asked about. They run under the same account as the rest of that request. We do not keep the searches; for studios we record only how many were made.

Some features can also look up a short fact through DuckDuckGo's Instant Answer service, for example when the App builds a prompt for you or when the AI model that runs on your phone answers you. The AI model writes the search query from your request, and your phone sends it to DuckDuckGo, which receives it with your phone's IP address but not your name or account, and handles it under its own privacy policy. We do not keep these searches.

Some prompts use Deep Research: when you run one in Chat on Android, in a chat that uses Gemini, the App sends your research question to Google's Deep Research service, which searches the web and writes a report for you. Deep Research in Agent Studio, where it is available to you, works the same way.

Section 6 — How We Share Your Information

We do not sell your personal information. We share information only as described below.

6.1 Service Providers

We engage third-party companies to perform services on our behalf, including cloud hosting, payment processing (the Apple App Store and Google Play), analytics, crash reporting, AI model providers and web search, push notification delivery, email delivery, customer support tools and content moderation. These service providers are bound by confidentiality and data protection obligations and may use the information only to provide services to us.

Apple Health and Health Connect (Section 2.6) are sources the App reads from on your phone, not recipients: the App does not write to them or send your information to them.

6.2 Notification Delivery

Push notifications are delivered through Google (Firebase Cloud Messaging) and, on iPhone, Apple (APNs). A notification tells you briefly what happened: for example who replied to your post (their display name), which circle invited you, or that a task you scheduled has run (with the name you gave it). It does not include the text of a post, message, email or health entry; that stays in the App. If you receive promotional Premium, we may also tell you when it starts and the day before it ends; you can turn those notices off with “Premium & trial notices” in Account → Notifications. Some reminders, such as Health Studio's, are set on your phone rather than sent by us. You can turn notifications off at any time in your phone's settings.

6.3 Device Integrity Checks

The App asks Apple (App Attest, on iPhone) or Google (Play Integrity, on Android), through Firebase App Check, to confirm that requests come from a genuine copy of the App rather than an automated script. This check is about the App itself, not about you, and carries no personal information.

6.4 Community Features

Certain information you contribute to Mom Circle — such as posts, replies and your profile display name — is visible to other users. You control the scope of your public profile through your privacy settings and what you post. Other signed-in members can see your public profile: your account identifier (a random code, not your email); your display name (if you have not chosen one, the name from your Google or Apple sign-in); your avatar; whether your profile is hidden; whether you are using a guest account; whether we have given you Premium directly; and four of your App settings. Your city, bio, goals and cultural background are not part of it. You can change your display name and avatar, or hide your profile, in Account at any time.

When you create a Mom Circle, the App can label it with your town and state and, if you have allowed location, a map point near you, so that moms nearby can find it. Discover and the Circles branch of the assistant's star map can use your phone's approximate location, if you have allowed it, or the city in your profile, to show circles near you.

6.5 Your Calendar and Contacts

If you turn them on, the assistant can look at what is coming up on your calendar, and warn you if something you are adding clashes. When you ask a question that requires calendar details, those events are sent to the AI provider. If you tap Add to calendar in a studio such as TimeCraft, the App adds that one event to the calendar you chose. The voice assistant adds an event only after you confirm it. Your phone writes the event itself; it does not pass through our servers.

6.6 Smart Home

If you connect a smart home, the assistant can turn lights, plugs, fans and switches on or off, set your thermostat, and start scenes you created yourself. On iPhone, the App works with the home you have set up in Apple's Home app. We do not store your smart-home data on our servers, and we use it only to carry out what you ask: not for advertising, data mining or training models.

6.7 Business Transfers

If Promptly Mom undergoes a merger, acquisition, or sale of substantially all of its assets, your personal information may be transferred as part of that transaction. We will notify you if such a transfer results in a material change to this Policy.

6.8 Legal Requirements

We may disclose your information to law enforcement, regulators, courts or other government authorities if required to do so by applicable law, or to protect the rights, property or safety of Promptly Mom, our users or the public.

6.9 No Sale, No Sharing, No Targeted Advertising

We do not sell personal information, and we do not share personal information for cross-context behavioural advertising, as those terms are defined under the California Consumer Privacy Act as amended and comparable U.S. state laws. We do not process personal information for targeted advertising, and we do not collect advertising identifiers. We have not sold or shared personal information in the preceding twelve months, including the personal information of any consumer under 16.

This includes the home context information described in Section 5.10. We do not license, rent, disclose for value, or otherwise make available to any third party the record of how you use the App or the picture of your household that it builds.

Section 7 — Cookies and Tracking Technologies

We use cookies, pixel tags, web beacons and similar tracking technologies on our Site. For complete details, including a list of the specific technologies in use, see our Cookie Policy at promptlymom.com/cookie-policy.

• Essential Cookies: Necessary for the App and Site to function. Cannot be disabled.
• Analytics Cookies: Help us understand how users interact with our Services. You may opt out.
• Personalization Cookies: Enable us to remember your preferences and tailor your experience.
• Marketing Cookies: Used to measure our own campaigns. Require your consent in applicable jurisdictions.

In the App, we do not collect advertising identifiers (Apple IDFA or Google Advertising ID). The App includes one crash-reporting tool, Firebase Crashlytics, which sends reports only as described in Section 2.2.

Section 8 — Data Retention

Exceptions you should know about

Community posts. If you delete your account, your posts and replies in Mom Circles, and prompts you published to the shared library, remain, credited to “Former member” in place of your name. Photos you attached to posts are deleted. If you want a specific post removed, delete it before closing your account, or contact us at admin@promptlymom.com.

Anonymous usage counts. As described in Section 5.10, we keep counts of how often prompts and features are used, by day and by area. These carry no identifier of any kind and no individual records, so they are not linked to you and are not affected by account deletion.

Information kept only on your phone. Some information is kept only on your phone: the assistant's notes, conversations you choose to keep, the usage list described in Section 5.10, and the records you keep in Health Studio. We do not hold it, so it is not part of a copy of your data that we provide, and we cannot recover it.

Section 9 — Your Privacy Rights and Choices

To exercise any right, submit a request to admin@promptlymom.com or use Account → Data & Privacy. We will respond within 30 days, and may extend by a further 45 days where permitted, with notice to you. We will verify your identity before acting on a request, using the information already associated with your account.

You may also use an authorized agent to submit a request on your behalf, with written proof of authorization. You have the right to lodge a complaint with your local supervisory authority.

Section 10 — Children's Privacy

The Promptly Mom App and Site are intended for use by adults aged 18 and older. The Services are not directed to children, and we do not knowingly collect personal information directly from children under the age of 13 (or 16 where required by applicable law, including in certain EEA countries).

Information about your children that you provide (ages, dietary preferences, schedules, the family list in TimeCraft and, if you choose, a photograph for colour analysis) is collected from you as the parent, for the purpose of personalizing content for your family, as described in Section 2.3.

Because the voice assistant holds an open microphone, a child's voice may be captured incidentally during a session that an adult account holder has started. As described in Section 2.5, no audio is retained by us, the transcript of a session is not sent to our servers, no voiceprint or other biometric identifier is created, and nothing is inferred from the sound of a voice. The assistant is instructed to end a session if a speaker identifies themselves as a child. We ask that account holders not permit children to use the assistant unsupervised.

If you are a parent or guardian and believe a child has provided personal information to us without your consent, contact us immediately at admin@promptlymom.com and we will delete it.

Section 11 — International Data Transfers

The Services are currently offered in the United States only. Promptly Mom is operated from the United States, and our AI providers process data in the United States and in other countries. This includes audio streamed during voice assistant sessions.

If we expand availability, the following applies. For users in the EEA, Switzerland and the United Kingdom, we transfer personal data internationally only under lawful transfer mechanisms, including Standard Contractual Clauses approved by the European Commission (and the UK International Data Transfer Addendum), adequacy decisions, or other mechanisms permitted under GDPR Chapter V. You may request a copy of the safeguards we rely on by contacting admin@promptlymom.com.

Section 12 — U.S. State Privacy Rights

12.1 California (CCPA as amended by the CPRA)

California residents have the right to know, delete, correct, opt out of sale or sharing, limit the use and disclosure of sensitive personal information, and be free from discrimination for exercising these rights. Promptly Mom does not sell or share personal information as those terms are defined under the CCPA. The categories of personal information we collect, the purposes for which they are used, and the categories of recipients are set out in Sections 2, 3 and 6. To exercise your rights, submit a request to admin@promptlymom.com. Authorized agents may submit requests with written proof of authorization.

12.2 Other U.S. States

Residents of Colorado, Connecticut, Virginia, Texas, Montana, Oregon and other states with comprehensive privacy laws have comparable rights, including the right to appeal a declined request. We honor these rights regardless of where you reside. Contact admin@promptlymom.com to submit a request.

12.3 Consumer Health Data — Washington and Nevada

If you use Health Studio or FitFlow, the information you log, and data you choose to bring in from Apple Health or Health Connect, may be “consumer health data” under the Washington My Health My Data Act or Nevada SB 370. We collect it only with your consent, use it only to provide the features you have enabled, and do not sell it. We do not share consumer health data with an AI provider unless you have enabled health data sharing, and we send it to the voice assistant only if you have also turned on one of the health choices described in Section 2.4. You may withdraw consent at any time in Account → Data & Privacy, and request deletion at any time by contacting admin@promptlymom.com.

Section 13 — Canadian Users (PIPEDA / Quebec Law 25)

If you are located in Canada, your personal information is subject to PIPEDA and, where applicable, Quebec's Law 25. We collect, use and disclose your personal information only for the purposes identified in this Policy, with your knowledge and consent. You have the right to access your personal information, challenge its accuracy, and request its deletion or de-indexing where the law provides. Contact admin@promptlymom.com to exercise these rights.

Section 14 — Data Security

• Data in transit is encrypted using industry-standard TLS.
• Sensitive data fields, such as passwords and payment information, are encrypted at rest.
• Assistant notes stored on your device, and conversations you choose to keep, are held in a device-locked location that is excluded from device backups.
• Records you keep in Health Studio's My Records are encrypted on your phone with a key held in the iPhone Keychain or the Android Keystore, and are excluded from backups.
• Our own AI provider keys are delivered to the App over encrypted connections; they are not shown in the App or given to studio content. A key you connect is kept on your phone in the platform's secure storage, for your account only.
• Access to personal data is restricted to authorized personnel on a need-to-know basis.
• We maintain an incident response plan and will notify affected users and relevant authorities of a data breach within the timeframes required by applicable law.

No system is perfectly secure, and we cannot guarantee the security of information transmitted to us.

Section 15 — Changes to This Privacy Policy

When we make material changes, we will post the updated Policy with a revised Last Updated date, notify you by email to the address associated with your account, and/or display a prominent notice within the App. Where a change materially expands the categories of data we collect or the purposes for which we use them, we will seek your affirmative acknowledgement before that change takes effect for you.

Where we said we would not use some of your information in a particular way, we will not start using information collected under that promise just because this Policy changes. A new use applies only to information you add after you have turned it on, unless you choose, separately and expressly, to let it cover what you already have.
